Absence Policies + Procedures for Tutors* This field is required.Regular and prompt attendance is important. The children look forward to seeing their tutors and they are disappointed when their tutors are not at a session. 1. If you will be an absent, email litmath@mmjccm.org and your student's teacher, if you have their contact information. 2. Tutors may be asked to leave the program if, during the course of the program, they accumulate more than three absences without prior notice.

Code of Conduct* This field is required.As a volunteer tutor, you play an essential role in supporting students’ growth, confidence, and love of learning. In alignment with the Marlene Meyerson JCC Manhattan’s Community Covenant, we ask that every tutor help create an environment grounded in dignity, respect, and inclusion. By upholding these standards, we ensure that students, families, and school communities experience the safety, encouragement, and care they deserve. 1. Professionalism & Commitment ● Arrive on time, prepared, and ready to engage with students. ● Notify program staff promptly if you will be absent or late. Excessive unexcused absences may result in dismissal from the program. ● Commit to the schedule you have agreed upon. ● Follow all school or program sign-in/out procedures, including bringing ID. 2. Respectful Relationships ● Treat all students, families, staff, and fellow volunteers with dignity, patience, and respect. ● Use positive, encouraging, and age-appropriate language at all times. ● Maintain professional boundaries: do not share personal contact information, connect with students on social media, or arrange meetings outside of program time. Refrain from initiating physical contact with students. ● Honor and value cultural, linguistic, and individual differences. We strive for a community free from antisemitism, racism, bullying, religious discrimination, homophobia, transphobia, ableism, ageism, xenophobia, and all forms of prejudice. Dismissive or disrespectful language, including profanity, slurs, or purposeful misgendering, has no place in our tutoring spaces. 3. Student Safety & Confidentiality ● Never be alone with a student in an unsupervised space; tutoring should take place in designated, visible areas. ● Do not photograph, video, or audio record students without explicit permission from school/program leadership. ● Keep all student information—including academic progress, behavior, or family circumstances—confidential. ● Report any concerns about student safety or well-being immediately to program staff or school personnel. 4. Instructional Approach ● Follow the program’s curriculum, guidance, or teacher directions, even if you have your own ideas. ● Support students’ learning through encouragement and guidance, not by completing work for them. ● Maintain flexibility and a growth mindset; every student learns at a different pace. 5. Conduct & Integrity ● Refrain from using your role to promote personal, religious, or political views. ● Do not bring food or gifts for students unless specifically approved by staff. ● Abstain from alcohol, drugs, and tobacco or e-cigarette use during any tutoring session or school visit, and while on or around school premises. ● Uphold honesty, reliability, and integrity in all interactions. 6. Accountability ● Seek feedback and resources from program staff as necessary and be open to coaching and training. ● Bring questions, challenges, or concerns directly to program staff rather than addressing them independently. ● Tutors who witness or experience behavior that is out of alignment with this Code of Conduct are encouraged to speak with program staff. Reports will be taken seriously and handled promptly and confidentially to the greatest extent possible. By participating in this program, you agree to uphold the above Code of Conduct as well as any future updates communicated by program staff. Please remember that we are guests in our partner schools and community spaces, and it is a privilege to serve in this role. Failure to follow the Code of Conduct may result in dismissal from the program. Touching Policy + Guidelines* This field is required.Staff and volunteers who interact with children should show affection toward those children in a manner that is safe and appropriate for all parties. As human beings we tend to use affection to enhance our relationships. Because some children feel uneasy with any form of physical contact, please refrain from touching or holding your student. A “thumbs up” gesture or “high five” may be given as congratulations for work well done. Generally, when working with children, the following guidelines are recommended: Guideline 1: The Observer Standard This guideline emphasizes the need to consider how a situation appears to others. Imagine if an outside observer (either someone related to the child or a total stranger) walked into the room. Would the person think that the affection being shown to this child was appropriate? If not, you must change the situation immediately. Guideline 2: Child-Initiated Affection Children may choose to do something that a staff person never would. In some circumstances, that makes the behavior acceptable, such as when a young child holds a staff person’s hand or climbs into the staff person’s lap. Other circumstances remain unacceptable. An older child spontaneously kissing a staff person, for example, is to be discouraged, and staff should respond only briefly (although warmly) to full frontal hugs. Guideline 3: Age-Appropriate Affection Consider the age and developmental stage of the child involved. Is the behavior typical of that child’s peer group, or is it cause for concern? For instance, children who display overly-affectionate or inappropriate touching behavior may be victims of child abuse. Touching behaviors that are deemed appropriate for a 3 year old are often inappropriate for a 13 year old. Please report any inappropriate affection to the Koopersmith Family Literacy + Math Program team at litmath@mmjccm.org. Guideline 4: Gentle Limits Establish gentle yet firm limits regarding a child’s spontaneous affectionate behavior. Use techniques to redirect a child without making him/her feel rejected. For instance, after a minute of hand-holding or lap- sitting, ask the child to sit next to you, distract them with something else to do, or encourage them to return to a previous activity. Guideline 5: Witnesses When a situation requires unusual physical contact with a child, be sure to have witnesses who can verify that your actions and responses are appropriate. During a tutoring program, situations probably will not arise that may merit unusual physical contact (e.g., the need to assist a young child with a private activity such as dressing or using the restroom, or during programs such as aquatics, gymnastics, and other sports that require physical contact as part of the instruction); however, if they do, the key is to balance your need for corroboration with the child’s need for dignity and/or privacy in front of others.
